AR follow-up services

AR follow-up is working the claims a payer has not paid yet: finding out why each one is unpaid, fixing what is stopping it, and following it until it is paid or closed.

Your A/R, by age

Example

Open claims by days since they were sent. Tap a bucket.

Over 90 days

How close is the deadline?

The older a claim gets, the closer it is to the payer’s filing and appeal limits, so the oldest and largest are worked first, and a claim that can’t be collected is written off only with a reason.

Why do claims sit unpaid?

  • No claim on file

The payer never received the claim, or received it under the wrong patient or provider, and nobody knows until someone asks.

  • Claims waiting on information

The payer asked for medical records, an itemized bill or details of the patient’s other coverage, and the request went unanswered.

  • Denials nobody worked

A denial that came back on a remittance and sat there until the appeal deadline passed.

  • Underpayments

A claim paid, but for less than the contract says, which looks settled unless someone checks.

  • Deadlines getting closer

The older a claim gets, the closer it is to the payer’s filing and appeal limits.

How AR follow-up works

  1. Sort the A/R by age and value

Open claims are grouped by aging bucket (0–30, 31–60, 61–90 and over 90 days) and by payer, and the oldest and largest are worked first.

  2. Find out why each claim is unpaid

We check the claim’s status with the payer, by portal, electronic status check or phone, and get the real reason.

  3. Fix what is stopping it

Missing information is sent, corrected claims are resubmitted, and denials go to appeal with the documentation they need.

  4. Follow up until it is closed

Each claim is followed until it is paid, or closed with a reason you can see.

  5. Write off only with a reason

When a claim can’t be collected, it is written off with the reason recorded, so no balance disappears unexplained.

A/R follow-up questions

What is AR follow-up in medical billing?
It is working the insurance claims that have been sent but not paid: checking each one’s status with the payer, finding out why it is unpaid, fixing the problem, and following up until the claim is paid or closed.
What are A/R aging buckets?
Unpaid claims grouped by how long they have been open, usually 0–30, 31–60, 61–90 and over 90 days. The buckets show where money is stuck and which claims are nearest their payer’s deadlines.
What is days in A/R?
Days in A/R is the average number of days it takes to collect what you bill. It is your total accounts receivable divided by your average daily charges.
